1. Name
The Club shall be known as Arcane Cycling Team (hereafter referred to as “the Club”).
2. Objectives
The objectives of the Club are:
- To promote the sport of cycling in all its forms, including road and track cycling
- To encourage participation in cycling for recreation, training and competition
- To provide opportunities for coaching, development and progression for riders of all abilities
- To foster a safe, inclusive and supportive club environment
- To operate as a democratic, member-led organisation
- To uphold the rules, policies and codes of Cycling Ireland where affiliated
3. Equality, Inclusion and Values
Arcane Cycling Team is committed to equality of opportunity and to creating an inclusive cycling environment.
The Club shall:
- Actively welcome women, trans and non-binary people, riders of colour, LGBTQIA+ people, disabled riders and others under-represented in cycling
- Not discriminate on the grounds of gender, gender identity, sex characteristics, race, ethnicity, disability, sexuality, religion, age or socio-economic background
- Promote dignity, respect and safety for all members
The Club recognises that equitable participation may require additional supports or accommodations and commits to working constructively to provide them where possible.
4. Membership
4.1 Eligibility
Membership shall be open to all persons who:
• Support the objectives and values of the Club
Agree to abide by this constitution, the Club’s code of conduct and Cycling Ireland rules where applicable
4.2 Rights of Members
Members shall have the right to:
- Participate in Club activities
- Attend and vote at General Meetings
- Stand for election to the Committee
- Be treated with respect and fairness
4.3 Responsibilities of Members
Members shall:
- Conduct themselves in a manner that reflects positively on the Club
- Follow safety guidance and Cycling Ireland regulations
- Respect fellow members, officials and the wider cycling community
4.4 Membership Fees
Annual membership fees shall be determined by the Committee and approved by members at a General Meeting. Fees shall be kept under review to ensure accessibility.
5. Governance
5.1 Management
The Club shall be managed by a Committee elected by the members at the Annual General Meeting (AGM).
5.2 Committee Structure
The Committee shall consist of at least the following officers:
- Chair (or Co-Chairs)
- Secretary
- Treasurer
Safeguarding Officer (in line with Cycling Ireland requirements)
Additional roles may be created as required, including roles related to coaching, racing, welfare or inclusion.
5.3 Committee Duties
The Committee shall:
- Manage the affairs of the Club
- Ensure compliance with Cycling Ireland policies and procedures
- Maintain proper financial records
- Promote safeguarding and welfare
- Act in the best interests of the membership
6. Meetings
6.1 Annual General Meeting
An AGM shall be held once per year. At least 14 days’ notice shall be given.
The AGM shall:
- Receive reports from the Committee
- Approve financial accounts
- Elect Committee members
- Consider motions and constitutional amendments
6.2 Extraordinary General Meetings
An EGM may be called by the Committee or by a specified proportion of members in accordance with Cycling Ireland guidance.
7. Safeguarding and Welfare
The Club is committed to safeguarding all members, particularly children, young people and vulnerable adults.
- The Club shall appoint a Safeguarding Officer
- The Club shall comply with Cycling Ireland’s Safeguarding Policy
All complaints or concerns shall be handled in line with Cycling Ireland procedures
- Harassment, bullying, discrimination or abuse will not be tolerated
8. Discipline
The Committee shall have the authority to deal with breaches of this constitution, the Club’s code of conduct or Cycling Ireland rules.
Disciplinary procedures shall:
- Be fair and transparent
- Allow the member an opportunity to be heard
- Follow Cycling Ireland guidance where applicable
9. Affiliation
The Club may affiliate with Cycling Ireland and any other relevant bodies as approved by the Committee and membership.
10. Finance
- The Club shall operate as a not-for-profit organisation
- All funds shall be used solely to further the objectives of the Club
- Accounts shall be maintained by the Treasurer and presented at the AGM
11. Amendments
This constitution may be amended by a majority vote at an AGM or EGM, provided members receive advance notice of proposed amendments.
12. Dissolution
In the event of dissolution, any remaining assets shall be transferred to a Cycling Ireland affiliated club or a community organisation with similar objectives, as determined by the members.
